Tickets from start to finish

Follow one maintenance ticket all the way through: a Manager creates it and assigns it on a computer, the tech works it on a phone and clocks out, and the Manager finds it in Closed Tickets with the hours and parts on record.

A ticket is how a job moves through LockLedger. Someone creates it, it goes to a tech, the tech works it and clocks their time against it, and it ends up in Closed Tickets with the hours and parts on record. This page follows one ticket the whole way: a Manager creates and assigns it on a computer, the tech works it on a phone, and the Manager checks it afterward. Every screenshot is from a real ticket made for this guide.

Admins and Managers
Create tickets, choose who each one goes to, edit them, and look back at closed ones.
Techs
See the open work, work the tickets assigned to them, clock in and out, add notes and confirm the parts they used.

1. Create the ticket (Manager or Admin, on a computer)

Create and assign a ticket: a step-by-step walkthrough1:29, captioned, no sound needed. Nothing is loaded from YouTube until you press play. Watch on YouTube
  1. 1

    Open Tickets

From the home screen, open the Tickets tile. This is the Admin Ticket Screen: the list of open tickets on the left, and the ticket you pick on the right.

  2. 2

    Press New Ticket

A blank ticket opens at once, in edit mode, with its number already assigned. It starts out assigned to you and at the first site on your list, so you will change both.

  3. 3

    Choose the site

Pick the Site the work is at. A new ticket starts at the first site on your list, which may not be the right one.

  4. 4

    Choose the location

Then the Location inside that site. Each choice narrows the next one, and changing an earlier choice clears the ones after it.

  5. 5

    Choose the equipment

Then the Equipment, the machine the job is for.

  6. 6

    Choose the task

Pick the Task for that machine, such as its preventive maintenance, or leave General Maintenance Request for a one-off job. A task fills in Task Details and Expected Hours for you.

  7. 7

    Set the priority

Choose a Priority: Low, Medium or High.

  8. 8

    Set the due date

Enter the Due Date. Once that day has passed, the ticket is marked PAST DUE in the list until it is completed.

  9. 9

    Assign it

Choose the tech in Assigned Tech. Only Admins and Managers see this field, so only they can hand a ticket to someone. If you leave it alone, the ticket stays assigned to you.

  10. 10

    Add a note

Write anything the tech should know in Notes.

  11. 11

    Press Submit

Submit saves the ticket. The tech's name now shows under it in the list.

  12. 12

    Check the required parts

A moment after you save, Required Parts fills in from the task. It stays empty until the ticket is saved.

New Ticket saves a blank ticket straight away

The ticket exists as soon as you press New Ticket. If you change your mind before saving, press Cancel and the blank ticket is discarded.

2. Work the ticket (the tech, on a phone)

The tech does the rest on a phone, at the machine. On a phone the list and the open ticket take turns on the screen instead of sitting side by side. See Recommended devices and connection.

  1. 1

    Open Tickets

A tech's home screen is Open Tickets, the list of work that is waiting.

  2. 2

    Tap My Tickets

My Tickets shows only the tickets assigned to you. All Tickets shows every open ticket.

  3. 3

    Open the ticket

Tap the ticket. On a phone it opens on its own screen, and Back to list takes you back to the list.

  4. 4

    Check the job

Scroll down for the task details and the parts the job needs.

  5. 5

    Tap Clock In

Clock In starts the clock and moves the ticket to In Process, and the button turns into Clock Out. It is greyed out on a ticket that has no equipment yet.

  6. 6

Add a note about the work

Tap Edit, then tap in Notes and add your note after what the Manager wrote. Where you tap is where your words go, so check the cursor is at the end. Then tap Submit.

  7. 7

    Tap Clock Out

When the work is done, tap Clock Out. LockLedger logs your hours and asks whether the ticket is complete: Yes, complete or No, still open.

  8. 8

    Confirm the parts you used

A ticket with required parts will not close until you say what you actually used. The list is filled in with what the job called for. Change a quantity if you used something different, add another part if you needed one, then tap Confirm and complete. If no parts were needed, you can say so instead.

  9. 9

    The ticket leaves your list

A completed ticket drops out of Open Tickets.

3. See it in Closed Tickets (Manager or Admin)

  1. 1

    Open Closed Tickets

On the home screen, open Closed Tickets.

  2. 2

    Find the ticket

Search by ticket number, by tech, or by the day it was completed, written like 10/28/2026. Pick the ticket in the list.

  3. 3

    Read the hours

Ticket Completed shows the day it closed, and Total Hours Logged shows the time the tech clocked. The hours read very small here because the ticket for this guide was worked in a few seconds.

  4. 4

    Check the parts and notes

Additional Parts Used lists what the tech confirmed, and Notes keeps what both people wrote.

When it does not go to plan

  • The work is not finished. No, still open logs your hours and leaves the ticket open, so you can clock in again later.
  • The machine is still locked out. If you say the ticket is complete while the machine is locked, LockLedger asks what to do with the lock before it closes the ticket. See Lockout/tagout.
  • Nobody has taken the ticket. A tech can open an unassigned ticket and press Take this ticket to make it theirs. If two people press it at the same moment, the second is told that someone else took it.
  • You are waiting on a part. Set the ticket's Status to Parts on Order while the repair waits.
  • You made one by mistake. Only an Admin can delete a ticket, and only while it has no history: no hours, parts, lockouts or attachments, not completed, and not made from a portal request.

For how required parts work, including changing them on one ticket, see Tickets and required parts.
