Setting up a new company

The order that actually works when you're starting from zero: what has to exist before the next thing can be created, from your first site down to a PM schedule.

Updated September 25, 2026Admin

LockLedger's data has a real hierarchy underneath it, not just a suggested order. A few things are hard dependencies — you'll hit a wall trying to skip ahead — and getting the sequence right the first time saves you from backtracking.

The order

  1. 1

    1. Site

Nothing else can exist until you have at least one. Right after signup, LockLedger walks the founding Admin straight into adding one — that screen says it outright: equipment, locations, parts, and tickets all live under a site, so none of them can be created until there's one to hold them. Add more sites later from Sites (Admin-only; even a Manager has no write access here).

  2. 2

    2. Locations

A zone within a site — a building, a fill line, a warehouse. Create these next: equipment requires a location the moment you create it, so at least one has to exist first.

  3. 3

    3. Equipment

A machine at a specific site and location. This is the one everything downstream keys off of — tasks and PM schedules both need at least one piece of equipment to attach to; New Task on the Tasks screen stays disabled until one exists.

  4. 4

    4. Users

Not a hard dependency on the above — invite people, or approve their join requests, whenever it's convenient. The one thing that does depend on Sites existing first: a Manager or Tech has to be assigned to a site to see anything scoped to it, so add your sites before you assign staff to them.

  5. 5

    5. Parts

Belong to a site (required), optionally scoped to specific equipment. Not required before Tasks — a task's required parts can be added any time after the task exists — but it's less back-and-forth to have your parts catalog in place before you start building task templates that need to reference it.

  6. 6

    6. Tasks and PM schedules

The last step: task templates (what work is done, what parts it needs) get linked to one or more machines, and any machine on a PM task carries its own recurring schedule — interval, due date, history. Full walkthrough in Creating tasks and PM schedules.

Site is the only step you truly cannot skip

Everything past it — locations, equipment, users, parts, tasks — can technically be created out of order or filled in gradually. Site is the one genuine hard stop: the onboarding screen won't let the founding Admin finish setup without naming at least one.

Adding a second site later

The same order applies to any additional site you add down the road — a new location, then equipment, then whatever parts and tasks that site needs. Existing users aren't automatically assigned to a new site; go to Users and add the site to whoever needs to work there.
