Billing and subscription
How the trial works, what a failed payment actually does to your account, and exactly what a lapsed subscription locks you out of.
Billing is per active seat by role, not a flat per-login rate — see the pricing on the home page for current rates. This article covers the account states you'll actually see day to day, not the pricing itself.
Account states
- Trial
- Full access. A banner at the top shows how many days are left and, for an Admin, a link to set up billing.
- Active
- Billing is set up and in good standing. No banner.
- Payment failed, retrying (grace)
- Full access continues — nothing is locked. Admins see "Payment failed — we're retrying. Update your card to avoid interruption." Everyone else sees "Your administrator has been notified." This is deliberate: a temporary card decline shouldn't stop the plant floor from working.
- Lapsed
- The only state that actually restricts access. See below.
What a lapsed subscription actually locks
If retries run out and the subscription fully lapses, LockLedger stops everyone except the Admin from using the app. An Admin is routed straight to the Billing screen to fix it. Everyone else lands on a dead-end screen that says Subscription lapsed — ask your administrator to update billing to restore access, and that your data is safe and nothing has been deleted. That last part is true: nothing is deleted for a lapsed subscription, ever. Access comes back immediately once billing is fixed.
This doesn't apply while acting as a platform admin
If LockLedger staff are acting inside your company account to help with something, billing state never locks them out — otherwise they couldn't reach the billing screen to help fix it in the first place.
Seats and who counts
Only active accounts count toward your bill. Deactivating someone (rather than deleting them) removes them from your seat count immediately. Admin and Manager share one seat tier, Tech is a separate tier, and Operator is free and unlimited — reporting a problem never costs you anything, no matter how many Operators you add.
Upgrading, downgrading, and canceling
All of this is handled from the Billing screen, which hands off to Stripe's own billing portal for card updates and plan changes. After checking out or making a change, give it a moment — the screen may briefly show a success message before your account's real billing state catches up in the background. The displayed state always reflects what Stripe has actually confirmed, not just what the checkout page said.
